How We Share Your Information

We will not share your information with any third party outside of our organization, other than as necessary to fulfill your requests and to provide you with outstanding care.

Specifically, we share your information only in the following circumstances:

  • With Service Providers: Service providers and subcontractors who perform functions on our behalf, such as website hosting, messaging and scheduling platforms, email delivery, payment processing, analytics, and professional advisors. They are bound to use the information only for the services they provide to us.
  • For Treatment, Payment, and Healthcare Operations: With dental laboratories, specialists to whom you are referred, and insurers, in accordance with HIPAA and our Notice of Privacy Practices.
  • With Your Written Authorization: For example, when you allow us to publish a before-and-after photograph or testimonial.
  • When Required by Law: When required by law, including in response to a subpoena, court order, or lawful request by a government authority, or to protect the rights, safety, or property of Nova Cosmetic Dentistry, our patients, our customers, or the public.
  • In Connection with a Business Transfer: Such as a merger, acquisition, or sale of assets, in which case the recipient will be bound by this Privacy Policy.

We do not sell your personal information. We do not share your personal information with third parties or affiliates for their own marketing or promotional purposes.

Protected Health Information and HIPAA

Nova Cosmetic Dentistry is a dental practice, and much of the information we maintain about our patients is Protected Health Information ("PHI") governed by the Health Insurance Portability and Accountability Act ("HIPAA") and the regulations issued under it. Our separate Notice of Privacy Practices describes in detail how we may use and disclose PHI and the rights you have with respect to it. Where this Privacy Policy and our Notice of Privacy Practices conflict with respect to PHI, the Notice of Privacy Practices controls.

We keep the content of our text messages deliberately limited. Appointment messages identify the practice, the date, and the time. We do not include diagnoses, treatment details, or clinical findings in text messages. If you would prefer that we not text you at all, tell us and we will use phone or mail instead.

Text Messaging (SMS) Program

This section describes our text messaging program and is an essential part of this Privacy Policy. Our full SMS terms are set out in our Terms and Conditions at www.novacosmeticdentist.com/terms-and-conditions.

How We Obtain Your Consent

We send text messages only to individuals who have given us express written consent to receive them. You may provide that consent in any of the following ways:

  • By checking the SMS consent box — which is never pre-checked — on a form on www.novacosmeticdentist.com and submitting the form
  • By completing and signing a paper or electronic intake, contact, or consent form at Nova Cosmetic Dentistry
  • By texting a keyword such as START or JOIN to our business number
  • By providing verbal consent during a phone call or appointment, which we record in your patient record (verbal consent is used only for appointment-related and customer-care messages, never for promotional messages)

Consent to receive text messages is not a condition of purchase and is not a condition of receiving any service from us.

What We Send

  • Appointment Messages: Reminders, confirmations, reschedules, cancellations, day-of arrival details, and forms to complete before your visit
  • Conversational Messages: Replies to your questions, follow-up after a consultation or service, and general customer care
  • Promotional Messages: Information about our services, seasonal offers, events, and new treatment options — sent only to individuals who have opted in to receive them

Message Frequency, Cost, and Opt-Out

Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message from us; you will receive a single confirmation message and then no further messages. Reply HELP for help, or contact us at (267) 405-2727 or hello@novacosmeticdentist.com.

How We Protect Your Mobile Information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, lease, trade, or otherwise give your mobile phone number or your SMS consent record to anyone for their own marketing.

We do share limited information with the subcontractors and service providers that make our messaging work — for example, our customer messaging platform, our scheduling software, and the telecommunications carriers that transmit the messages. These providers act on our behalf, are permitted to use the information only to deliver services to us, and may not use it for their own marketing purposes.

Your Access to and Control Over Information

You have the following rights and choices regarding your information:

  • Text Messages: Reply STOP to any message to opt out at any time
  • Marketing Communications: Click the unsubscribe link in any marketing email, or contact us to opt out of phone calls and other marketing outreach
  • Internal Do-Not-Call List: Ask us to place you on our internal do-not-call list
  • Access: Request a description of the information we have about you
  • Correction: Ask us to correct any inaccurate information
  • Deletion: Direct us to delete information related to you (subject to records we are legally or professionally required to keep)
  • General Concerns: Share any concern you have about our use of information

To make any of these requests, contact us at hello@novacosmeticdentist.com or (267) 405-2727. We may need to verify your identity before acting on a request.

You may opt out of any future contacts from us at any time. By using the contact form on our website or by contacting us directly, you can request any of the above options.

Keeping Your Private Information Secure

We maintain administrative, technical, and physical safeguards designed to protect your information against loss, misuse, and unauthorized access, disclosure, alteration, or destruction. These safeguards include:

  • Restricted access to systems and records
  • Individual staff accounts with secure authentication
  • Encrypted transmission of information submitted through our website
  • Vendor agreements requiring appropriate protections

No method of transmission or storage is completely secure. We cannot ensure or warrant absolute security of information you transmit to us.

In an abundance of caution, we suggest that you not use our contact form to email us highly confidential information. While we will not disclose such information to anyone beyond those necessary to facilitate our care of you, such information could possibly be intercepted in transit by unauthorized entities.

Data Retention

We retain your information for as long as necessary to:

  • Provide services to you
  • Comply with our legal, professional, and record-keeping obligations
  • Resolve disputes
  • Enforce our agreements

Records of your SMS consent and any opt-out request are retained for as long as we operate the messaging program and for a reasonable period afterward, so that we can demonstrate compliance and honor your opt-out. Dental records are retained for the period required by Pennsylvania law and applicable professional standards.

A cookie is a piece of data stored on a site visitor's computer or device to improve access to our site and to identify you as a repeat visitor. For example, cookies eliminate the need for you to log in a password more than once, thereby saving time while on our site. Our website uses cookies and similar technologies to remember your preferences, understand how visitors use the site, and measure the performance of our advertising. You can set your browser to refuse cookies or to alert you when cookies are being sent; some parts of our website may not function properly if you do. We may also use third-party analytics and advertising tools, which may collect information about your visit through cookies. We do not permit these tools to use your mobile phone number or SMS consent data.

Usage of a cookie is in no way linked to any personally identifiable information on our site.

Children's Privacy

Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13. We do not send marketing text messages to anyone under 18.

Where we treat a minor patient, we collect and use information with the consent of the parent or legal guardian, and appointment messages are sent to the parent or guardian's mobile number.

Links to Other Websites

We have linked our website to other sites that may be of help or interest to you. Our website may link to websites we do not control, including social media platforms, review sites, online scheduling tools, and financing providers. We are not responsible for the content or privacy practices of such other sites. This Privacy Policy does not apply to those websites.
